Updates to Security Sensitive Position Duties List
In continuation of our ongoing efforts to strengthen hiring efficiency and service delivery, we are pleased to share an additional update to the Security Sensitive Position Duties List as it relates to the Criminal Background Check (CBC) process. These enhancements build on the updates shared in February and are designed to align with best practices, improve time-to hire, enhance the candidate’s experience and ensure appropriate stewardship of university resources.
Updated System-Wide Security-Sensitive Position List
A revised, system-wide list of security-sensitive position duties has been amended to include Extern Trainees.
While externs are not paid, successful completion of an externship is required for psychology graduate students to obtain an internship and complete their doctoral program. Externs provide therapy to vulnerable students, have access to confidential records, and must maintain high ethical standards. The Counseling Center and – other health units on the west side – employ externs to conduct therapy and case management for clients. Given the exposure and role of externs, the concern is that these individuals have had broad access without a background check.
This update reflects a comprehensive review across all three campuses and the System HR Office to ensure consistency and alignment with the current business practices. The revised list provides clearer guidance on roles requiring background checks and promotes greater systemwide consistency in our hiring practices.
What’s Next
The HR Service Center continues to update the CBC procedural documentation to reflect recent process enhancements and evolving compliance requirements. Our goal is to ensure the policy and associated processes are clear, user-friendly, risk-aligned, and supportive of timely hiring decisions.
