Overview

UIC Campus units use Tracker to electronically enter the Form I9 for all new hires and rehires for University employees. The system also checks E-Verify for employees who meet certain criteria.

Section 1 must be completed and signed by the employee on or before the employee’s first day of work for pay

Section 2 must be completed and signed by the employer no more than three days after the employee’s first day of work for pay.

Users can see all the Form I-9s created in the worksite that you have been granted access.

A worksite includes all departments within a college.

Once the candidate has accepted the job offer, the Form I-9 can be initiated greater than 60 days in advance of the start date.

No. The UIN is not required when you create the employee profile, however, once the HR Front End New Hire Transaction generates the employee’s UIN it must be entered in the employee ID field on the employee profilein Tracker.

All paid New Hire employees regardless of employment group or citizenship status and current employees paid/working for federal contracts that contain the Federal Acquisition Regulation (FAR) E-Verify clause.

The University is turning on the E-Verify functionality across the UI System. The federal I9 form remains optional however for institutions who have opted into E-Verify, the Social Security Number (SSN) is a required field.

It is the I9 Manager’s responsibility to ensure the I9 is completed in a timely and accurate manner the first time. Incorrect data will be sent to the E-Verify System. If this should happen, the I9 Manager will need to correct the I9 and add appropriate audit comments. (how about this instead: If this should happen, the I-9 Manager will be contacted by HR Service Center and asked to correct the I-9 as well as add appropriate audit comments.)

It will be the I9-Manager’s responsibility to ensure the I-9 form is completed by the 3rd business day and that the field is updated for all employees. If the employee has yet to obtain an SSN, the field can be left blank until the SSN card has been provided. The Employee will need to update Section 1 and validate their Social Security Number. The I9 manager will need to update comments indicating that the international employee obtained the SSN late. E-Verify will occur at that point.

No. Only if the employee provided a List A document which verifies identity and work authorizations. For E-Verify, ONLY the US Passport, US Passport Card, Permanent Resident Card, or Employment Authorization Document (EAD).

The agent inspecting & completing the I9 form will be required to upload the documents via the Tracker I9 System.
